Conference Registration

Conference registration is now open. Please register by following this link: https://controls.papercept.net/conferences/scripts/start.pl

Please note that the only payment method is via card payment, and that the payment is handled by an organization in the US.

How to register

All who wish to attend the conference must register and pay the registration fees via the conference registration page: https://controls.papercept.net/conferences/scripts/start.pl.

Each accepted paper should be covered by the registration of one of the paper co-authors. The registration fee must be paid within the deadline for final upload of accepted papers (at latest March 27, 2024).  The details of the registration fees are provided below. The registration opens in early March. Papers where none of the authors is registered will not be included in the conference program.

For all other participants, it is suggested to complete the regular registration by April 3, 2024. (Early Bird).

Full registrations include: 1 conference bag with proceedings, 1 banquet ticket, 2 daily coffee breaks, 1 ticket for the welcome reception, 1 ticket for the farewell reception, up to 2 papers uploads (the registrant must be a co-author of the associated paper(s); 6 pages/paper allowed, maximum 2 extra pages at additional cost).

Student registrations include: 1 conference bag with proceedings, 2 daily coffee breaks, 1 ticket for the welcome reception, 1 ticket for the farewell, up to 1 paper upload (the registrant must be a co-author of the associated paper; 6 pages/paper allowed, maximum 2 extra pages at additional cost). The student registration does not include any banquet ticket. Proof of student status is required during the registration process.

Student status: If at the time of registration or at the time of initial submission of paper for review you were a “full-time student” at a recognized institution, you may register at a Student rate.

Retiree status: If at the time of registration or at the time of initial submission of paper for review you had retired or did not hold a full time employment, you may register at a Retiree rate.

Note: due to an exceptional number of registered participants during the “Early registration period”, the banquet is full. Tickets to the banquet have therefor been removed from the “Late registrations”. The prices for “Late registrations” have been adjusted.

Registration and paper

Each accepted paper should be covered by the registration of one of the paper co-authors. The corresponding registration fee must be paid within the deadline of the final upload of the accepted paper. Accepted papers which are not associated to a registration of one of the co-authors will neither be included in the conference program nor in the proceedings.

Each full registration allows to upload 2 final papers (or industry abstract) maximum. Each student registration allows to upload up to 1 final paper. The registrant must be an author of all the papers associated to their registration.

Paper uploads in addition to those included with each registration are possible at an extra cost of 220$ per paper. Each extra upload has to fulfill all requirements of a regular upload.

The final paper length is limited to 6 pages. A maximum of up to 2 extra pages (for a maximum length of 8 pages per paper) is allowed. Extra pages require the payment of over-length page fees at a cost of 110$ for each extra page.

Extra banquet tickets

Extra banquet tickets can be requested at an extra cost of €100/person via the online registration system or onsite. Extra banquet tickets are subject to availability.

Pre-conference Workshop registration

Workshops will be held at the conference venue on June 25th, 2024, the day before the official opening of the conference. Advanced registration for pre-conference workshops can be done online via the conference registration system. For a complete list of workshops, please see this page. Please note that workshops are: (a) subject to cancellation for lack of registrants, and (b) allow a maximum number of participants.

In mid-May, proposers and registrants will be notified whether a minimum number of registrations has been achieved for their specific workshop. Registrants of canceled workshops will be given the possibility to register to another workshop at no additional cost, or to be refunded the original registration fee.

Important: You can register for only 1 workshop because all workshops take place simultaneously. Recordings of workshops will not normally be made.

The costs of attending a pre-conference workshop are :  120$/150$ (early/late) for Full In-person, and 5$/60$ (early/late) Student/Retiree In-person.

Registration for welcome reception, banquet, and farewell reception, and dietary restrictions

The welcome reception will be held in the Stockholm City Hal – a beautiful national-romantic style building from 1923. It is also the venue where the Nobel Price banquet is held every year. The banquet dinner will be held in the Vasa Museum – home to the Vasa ship, one of the worlds best preserved 17th century ship, and one of the cities main tourist attractions.

The welcome reception, banquet dinner, and farewell reception are all included in the registration. However, please note that you need to sign up for them explicitly in the registration system in order to be able to attend. Moreover, in order to be able to attend the welcome reception, you must sign up at latest on the 9th of June – for registrations after that, we cannot guarantee that you can attend.

If you have dietary restrictions, for example allergies, please use the following form to inform us about them https://www.kth.se/form/ecc2024dietaryrestrictions We need this information at latest on the on the 20th of May, in order to guarantee that we can accommodate your needs. Please note that filling this form is not the same as registering for the conference.

Cancellations and refunds

After uploading a final paper, no refund of the corresponding registration fee is possible (even if the paper is withdrawn).

Cancellation and refund of registration fees that do not correspond to final paper uploads are possible, until 30th of April. Requests must be made via email at ecc24@euca-ecc.org with the subject “Cancellation ECC24 NAME SURNAME” at latest on the 30th of April. No refunds will be made after this date. Cancellations are subject to an administrative fee of 100$.

Transferring a registration is possible in some circumstances. Please note that a student can transfer her/his registration only to another student. Please contact the secretariat via email at ecc24@euca-ecc.org for further information.

Force Majeure

Unexpected cancellation of the conference. The organising committee reserves itself the right to cancel without notice or compensation ECC24 in the event of force majeure cases (for example, but not limited to acts of nature such as fire, earthquake, hurricane, flood, war or terrorist attacks). In such cases, the organising committee is freed of all responsibility.

Limitation of liability. In the event of it being impossible to carry out the ECC24 for force majeure cases, so long as this arises from a cause not attributable to the organisers, the organisers shall only be obliged to reimburse the payments received subject to deduction of any costs it has incurred in preparing the event. This liability only extends to the payments made directly to the ECC24 and not to payments made by the attendees to the hotel or airlines.
